• You organise events between 400 and 2,500 attendees, 
• Your events are held on a regular basis (annual, biennial, triennial or each four years) and rotate to Europe and, 
• You are a decision maker or main influencer on the choice of destination for your event.

Luxembourg Convention Bureau will cover the following: 

• the registration fee
• 3 nights of accommodation at the official hotel on 2-4 July 2026
• meals on 2-4 July 2026
• social activities

1. Associations will be responsible for their own travels, transfers, visa (if applicable) and expenses.

2. A cancellation fee of 300€ will be charged by Luxembourg Convention Bureau to cover costs incurred for accommodation if cancellation of participation is made after 22 May 2026.

3. Please note that places will be allocated on a first come, first served basis. A waitlist system (no fees required) will be implemented when the registration reaches 15 pax.

• Luxembourg Convention Bureau will assist with an invitation letter for your visa application to Luxembourg only.
• Please contact Lina Ostapchuk (Lina.Ostapchuk@lcb.lu) if you require an invitation letter to apply for your visa to enter Luxembourg.
• Associations are responsible for their visa applications and the associated costs. 
  
• Please ensure you have obtained your visa before booking your flights. ICCA and Luxembourg Convention Bureau will not be liable for flight costs if visa is not granted.
